The routine that works

Bullet points rather than a brief
Five bullet points with the facts produce a better result than an instruction to write something.

Set tone and length
"At most 150 words, factual, no bullet points" is a specification. "Professional" is not.

Produce two versions
And take the better half of each. That is faster than improving one.

Revise it yourself
That is where your own text appears. The draft is material.
How generated text gives itself away
- Formulaic openings and closings that say nothing.
- Bullet lists where a sentence would have done.
- Uniformly long paragraphs with no rhythm.
- Intensifying adjectives with no evidence: comprehensive, holistic, tailored.
- Even-handed phrasing that takes no position.
Cutting those five during revision generally yields a markedly better and less recognisable text.
Supplying your own voice
A style guide with ten rules and three example texts inside the prompt does more than any description of the tone you want. Include: forms of address, preferred and forbidden terms, typical sentence length, handling of loanwords, and examples of good and bad phrasing.
Legal points
- Confidentiality. A draft does not justify disclosure. Confidential content only in checked tools, see processing on behalf.
- Copyright in the output. A purely machine-generated text generally enjoys no protection of its own in the EU. Exclusivity needs other means.
- Third-party source texts. Entering someone else's text as a model is a reproduction. For protected works, the permissibility belongs settled.
- Labelling. Disclosure duties apply to deepfakes and published artificially generated content under Art. 50 AI Act.
- Employment context. Reflecting drafts back to staff while recording handling times engages co-determination.
Where a draft is not enough
For anything containing a commitment: deadlines, prices, legal consequences, guarantees. Such texts go past a named person, and the check is documented. That is not a formality but the difference between a draft and a statement a company will be held to.
